Retreat Terms & Safeguarding Information

How our retreats work, and how your safety and privacy are protected throughout.

This is a template

This document is a starting template written in plain language. It is not legal advice and does not claim regulatory compliance. It must be reviewed and adapted by a qualified Kenyan lawyer and the relevant professional body before it is published or relied upon. Effective date: [Effective date].

Our wellness retreats combine restful accommodation with professional therapeutic support. These terms explain how a retreat works, how the two are kept separate, and how we protect your safety and privacy throughout.

Two separate services

A retreat involves two distinct services:

  • Accommodation and hospitality — provided by the hotel partner, [Partner hotel name]. This includes your room, meals and hotel facilities, and is subject to the hotel’s own terms.
  • Therapy and wellness support — provided by Petronilla as a licensed therapy service, subject to our terms and conditions and confidentiality notice.

Keeping these separate protects your privacy and makes clear who is responsible for what.

Enquiry, screening and suitability

A retreat begins with an enquiry, not an instant booking. Before anything is confirmed, we carry out a short, confidential suitability review to make sure a retreat is right for you at this time. This is for your wellbeing, and there is no obligation.

A retreat is not emergency or inpatient care

Retreats offer supportive, restorative therapy in a calm setting. They are not a crisis service, hospital or inpatient facility, and they are not a substitute for medical or psychiatric care. If you are in crisis or need urgent help, please see our emergency page. During your stay, if a higher level of care is needed, we will help you access it.

Safeguarding and suitability review

Your safety comes first. Our suitability review helps us understand your needs and agree how best to support you. We follow safeguarding principles to protect anyone who may be at risk, in line with our confidentiality notice.

Consent

Taking part in a retreat is voluntary. We will explain what to expect and seek your informed consent before your retreat and before any therapeutic activity. You are free to pause or stop at any time.

Your privacy boundary

Hotel and retreat staff never receive your therapy notes. Your therapy records are kept entirely separate from your accommodation booking. Hotel staff only handle what they need to provide your stay, such as your room and dietary needs.

Cancellation and payment

Payment terms, deposits and cancellation arrangements differ between the accommodation and the therapy components. [Cancellation policy placeholder.] [Payment terms placeholder.] The hotel’s own cancellation terms may also apply to the accommodation. We will set everything out clearly before you confirm.

Who to contact

For any questions about a retreat, please contact us atadmin@petronilla.co.ke or +254711241476. For questions about the accommodation specifically, we can put you in touch with [Partner hotel name].
