Privacy Policy

How we collect, use, store and protect your personal information.

This is a template

This policy is a starting template written in plain language. It is not legal advice and does not claim regulatory compliance. It must be reviewed and adapted by a qualified Kenyan lawyer, and where relevant by the applicable professional body, before it is published or relied upon. Effective date: [Effective date].

At Petronilla, we take your privacy seriously. This policy explains what personal information we collect, why we collect it, how we keep it safe, and the choices and rights you have. If anything here is unclear, please contact us.

Who we are

Petronilla provides confidential therapy and wellness services in Kenya, online and in person. For any questions about your data, you can reach us at admin@petronilla.co.ke, by phone at +254711241476, or by post at P.O. Box 149, 00206 Kiserian, Kenya.

What information we collect

We collect only what we need to respond to you and provide our services. This includes:

  • Enquiry and booking details — your name, email address, phone number, preferred contact method, and the reason for your enquiry or appointment.
  • Messages you send us — the content of forms, emails or messages you choose to share.
  • Basic technical information — such as anonymised website usage, used only to keep the site secure and working well.

Please do not include detailed or sensitive clinical history in web forms or emails. There is a private, confidential space for that within your sessions.

Why we collect it and our lawful basis

We use your information to reply to your enquiry, arrange and manage appointments, provide the service you have asked for, and keep necessary administrative records. Our lawful basis is primarily your consent, given when you submit a form or contact us, and our legitimate interest in running the practice responsibly. Where the law requires it, we rely on legal obligation. You can withdraw consent at any time.

Data minimisation

We ask for the minimum information necessary. You are never required to share more than you are comfortable sharing in order to make an initial enquiry.

How your information is stored and kept secure

Your information is stored securely using appropriate technical and organisational safeguards, such as access controls and encryption in transit. We take care to protect it against loss, misuse and unauthorised access.

Who can access your information

Access is restricted to authorised staff who need it to respond to you or provide your care. Everyone with access is expected to treat your information as confidential.

Clinical records are kept separate

Any clinical records created during therapy are kept separately from general enquiry and website data, and are treated as confidential in line with our confidentiality notice. They are not used for marketing and are not shared without a lawful basis or your informed consent.

Analytics and advertising

We do not place sensitive personal or clinical information into analytics or advertising tools. Any website analytics we use are configured to avoid identifying you and are used only to understand general site performance.

Third parties who help us

We use a small number of trusted service providers to operate the practice — for example an email provider and a scheduling or booking system. These providers process information only on our instructions and under appropriate safeguards. We do not sell your personal information to anyone.

How long we keep it

We keep your information only for as long as necessary for the purpose it was collected, and for any period required by law or professional guidance. After that, it is securely deleted or anonymised. [Retention period placeholder — to be confirmed with your lawyer and professional body.]

Your rights

You may ask us to access the personal information we hold about you, correct anything that is inaccurate, delete information where appropriate, or restrict or object to certain uses. You may also withdraw consent at any time. We will respond to your request within a reasonable time.

How to contact us about your data

To make a request or ask a question about your privacy, please email us at admin@petronilla.co.ke or write to P.O. Box 149, 00206 Kiserian, Kenya. We are happy to help.

Changes to this policy

We may update this policy from time to time. The current version and its effective date will always appear on this page. Effective date: [Effective date].
